Information we collect How we use it How we share it Cookies Mobile apps Retention Security Data residency Your rights Children Changes Contact1. Information we collect
Information you provide
- Account & profile — name, work email, company, job title, and phone number when an account is created.
- Operational data — the records you enter into the platform (clients, projects, quotes, work orders, invoices, inventory, and related content).
- Communications — messages you send to us or through in-product support and the AI assistant.
Information collected automatically
- Usage & device data — pages and features used, timestamps, IP address, browser or device type, and app version.
- Diagnostics — crash reports and performance logs used to keep the Service reliable.
2. How we use information
- Provide, operate, secure, and improve the Service.
- Authenticate users and enforce tenant (company-level) data isolation.
- Provide customer support and respond to requests.
- Power in-product features, including the AI assistant, using only the requesting company's own data.
- Monitor for abuse, fraud, and security incidents.
- Comply with legal obligations.
3. How we share information
We do not sell personal information. We share it only:
- Service providers — infrastructure, hosting, and analytics vendors who process data on our behalf under contract (e.g., cloud hosting and identity providers).
- Integrations you enable — third-party services you explicitly connect (data flows only as you configure).
- Legal & safety — where required by law, or to protect rights, safety, and the integrity of the Service.
- Business transfers — in connection with a merger, acquisition, or asset sale, subject to this Policy.
4. Cookies & similar technologies
We use strictly necessary cookies to keep you signed in and to secure sessions, and limited analytics to understand aggregate usage. You can control non-essential cookies through your browser settings; disabling strictly necessary cookies may impair the Service.
5. Mobile applications (iOS & Android)
Our iOS and Android apps request device permissions only to power specific field-operations features. Every permission is requested in context, and you can change any of them at any time in your device Settings — declining one disables the related feature, not the whole app.
| Permission | Why the app uses it | Platform |
|---|---|---|
| Location (incl. background) | Show nearby jobs, route to sites, on-site check-in/out, and dispatch tracking | iOS & Android |
| Camera | Photograph work orders, inventory and audits; scan barcodes | iOS & Android |
| Photos / files / storage | Attach and upload images and documents | iOS & Android |
| Microphone & speech recognition | Voice input to the Elva AI assistant | iOS & Android |
| Notifications | Job assignments, status changes and reminders | iOS & Android |
| Calendar | Add and sync scheduled work | iOS & Android |
| Phone (dialer) | Tap to call a client or contact | iOS & Android |
| Bluetooth | Connect to nearby barcode scanners / label printers | iOS |
| Motion & activity | Improve location and routing accuracy | iOS |
Background location
With your permission the app may access location in the background so dispatch and routing keep working while the app isn't open (for example, en route to a job). We use it only for these operational features — never to build advertising profiles — and you can revoke it anytime in Settings.
Push notifications
If you allow notifications, we register a device push token with Apple Push Notification service or Firebase Cloud Messaging to deliver job and status alerts. You can turn them off in device Settings at any time.
Diagnostics & crash reporting
The apps use Firebase Crashlytics to capture crash and performance diagnostics (device model, OS version, app version, and crash traces) so we can fix issues. This is not used to identify you personally.
App Store & Google Play disclosures
Our data practices are also summarized in Apple's App Privacy label on the App Store and Google's Data Safety section on Google Play. Where those summaries and this Policy differ in detail, this Policy governs.
Account & data deletion
You can request deletion of your account and associated personal data from within the app (Settings → Account) or by emailing info@taskflowpro.com. We action verified requests within a reasonable period, subject to legal retention requirements.
6. Data retention
We retain personal and operational data for as long as your account is active or as needed to provide the Service, then delete or anonymize it within a reasonable period, except where longer retention is required by law.
7. Security
We use industry-standard safeguards including encryption in transit, access controls, tenant isolation, and least-privilege practices. No method of transmission or storage is 100% secure, but we work to protect your information and to notify you of material incidents as required by law.
8. Data residency & international transfers
Taskflow Pro is built with Canadian data-residency in mind. Where data is processed outside your region, we rely on appropriate safeguards (such as standard contractual clauses) for any international transfer.
9. Your rights
Depending on your jurisdiction (including under PIPEDA, GDPR, and similar laws), you may have the right to access, correct, delete, or port your personal information, and to object to or restrict certain processing. To exercise these rights, contact us using the details below. Account administrators can also manage much of their organization's data directly in the Service.
10. Children's privacy
The Service is intended for business use and is not directed to children under 16. We do not knowingly collect personal information from children.
11. Changes to this Policy
We may update this Policy from time to time. Material changes will be posted here with a revised "Last updated" date, and, where appropriate, communicated in-product.
